TecH2O Center Facility Use Policy

Requesting Use of the Facility

Groups and organizations wanting to use the TecH2O Center should contact the Center Manager or his/her designee at (915) 621-2000 at least thirty days in advance of a proposed event. The earlier such request is made and deposit paid, the more likely the event can be accommodated. TecH2O Center requires a signed contract for all events.

Prioritization of Purpose

First priority for space will be given to El Paso Water and TecH2O events and programs. We also place a priority on water-centric events and programs hosted by others. Based on availability, we work to accommodate public agencies (city, county, state, federal), and non-profit (501c3) organizations. Requests received by corporations or private citizens will be approved on a case-by-case basis.

Safety and Security

The safety of visitors and exhibits will not be compromised for any event. No open flames or candles are permitted. TecH2O is a smoke-free building. Alcohol is not permitted. At least one member of El Paso Water staff must be present for all events and for the duration of the event. Additional security staff may be required at the sole discretion of the Center Manager (for a fee) in proportion to the space to be used and for the number of participants expected.

Use of TecH2O Name in Publicity

Renter may not use the name of the TecH2O Center in connection with the event except to identify the location unless written consent is provided by the Center Manager. Advertising, publicity and invitations naming the TecH2O Center as the location may not begin until the event is contracted through the Center Manager.

Accessibility

All areas of the Center building are accessible to persons with physical disabilities with entrance and exit through front door only. There is a drop-off island on the parking lot in front of the Center for those with physical disabilities. The auditorium has four spaces designated for wheelchair accessibility.

Facility Use Deposit

All groups and organizations using the Center during normal work hours shall pay a deposit of $50.00 to reserve space. This amount is refundable if the event is canceled 48 hours prior to the event. The deposit will be applied to a cleaning charge following the event.

TecH2O Staff Coordination

All deliveries and pickups must be coordinated with TecH2O staff. Any decorations must be coordinated with TecH2O staff.

Space Rental Fees

Events will be subject to rental fees, as determined by a rental fee schedule to be specified and agreed to in a signed, contractual agreement. The rental fee schedule includes modest costs for facilities, equipment, tables and chairs, linens, use of kitchen or coffee machine and the staffing time needed for the event including security, set-up, tear down and cleanup time. Rental fees must be paid in full to the Center eight business days prior to the date of the event. We accept cash or checks but no credit cards. Cancellations within 48 hours prior to the event will incur a 25% charge of total rental fee.

Fee Waivers

The TecH2O will provide a rental fee waiver for public and non-profit events, subject to space availability and assuming the event is held during normal business hours, Monday - Friday from 8:00 a.m. to 5:00 p.m. (Note: Days/hours can be adjusted for a cost.) The deposit and cleaning fee still apply to all users, except the water utility.
